1. Who we are
IntelliResume ("IntelliResume", "we", "us", "our") is a product of Patrixel Digital Solutions, a business based in India. Patrixel Digital Solutions is responsible for the personal information processed through IntelliResume and is the data controller (or "data fiduciary") for it.
This policy explains what information we collect when you use intelliresume.online and our browser extension, why we collect it, who we share it with, and the choices and rights you have.
2. Information we collect
We collect only what we need to run the service:
- Account information: your name, email address and phone number, and your password in hashed form (we never store it in plain text). If you sign in with Google, we receive your name, email address and Google account identifier.
- Resume and career information: resume files you upload and the details extracted from them or entered by you — contact details, summary, skills, work history, education, projects, certifications, achievements and languages.
- Job information: job titles, descriptions and links you add or import, the tailored resumes and cover letters generated for them, and the application status you record in the job tracker.
- Applications you send: when you use Direct Apply, the recipient address, your message and the documents you choose to attach.
- Recruiter emails: only if you use recruiter email tracking — see section 7.
- Billing information: your plan, billing country, invoices and payment status. Card, UPI and bank details are entered directly with our payment processors and never reach our servers.
- Messages to us: bug reports, support requests and newsletter sign-ups, including any contact details you give us.
- Technical information: IP address, browser and device type, and log records needed to keep the service secure, prevent abuse and fix faults.
3. How we use your information
- To provide the features you use: reading your resume, comparing it with a job, generating tailored resumes and cover letters, scoring, tracking applications and sending applications you ask us to send.
- To manage your account and subscription, process payments and send receipts and billing notices.
- To send service messages such as sign-in codes, security alerts and important changes to the service.
- To send our newsletter, only if you have subscribed. You can unsubscribe at any time.
- To keep the service secure, prevent fraud and abuse, and diagnose problems.
- To understand, in aggregate, how the service is used so that we can improve it.
We do not sell your personal information, and we never share your resume with employers or recruiters unless you send it to them yourself. Generated resumes are built only from information in your own profile; we do not invent employers, dates, qualifications or achievements.
Where the EU or UK GDPR applies, we rely on the following legal bases: performance of our contract with you (providing the service), our legitimate interests (security, fraud prevention and improving the service), your consent (newsletter and personalised advertising, which you can withdraw at any time), and legal obligations (tax and accounting records).
4. AI processing
Several features — reading resumes, analysing job descriptions, generating tailored documents and sorting recruiter emails — use AI language models operated by carefully selected third-party providers. When you use one of these features, only the text needed for that request is sent to the provider, which processes it and returns the result.
- Your password and payment details are never sent to an AI provider.
- We do not use your resume or documents to train our own AI models.
- AI providers process data under their own terms. Some providers' terms allow content submitted to them to be used to improve their services, which may include review by people. We take this into account when selecting providers.
- Where a request can be handled by our own rule-based software, no data leaves our systems.
5. Who we share information with
We share personal information only with service providers who help us run IntelliResume, and only as far as they need it:
- Hosting and infrastructure providers that store and serve our application and data.
- AI model providers, as described in section 4.
- Email delivery providers that send account, billing and application emails and receive recruiter emails for the tracker.
- Payment processor — Razorpay — which handles checkout, subscriptions and payment details under its own privacy policy.
- Google, if you choose to sign in with Google, and as an advertising partner on the Free plan (section 6).
We may also disclose information where the law requires it, to protect the rights and safety of our users or the public, or as part of a sale or reorganisation of our business, in which case this policy will continue to apply to your information.
6. Advertising and cookies
The Free plan is supported by advertising. Paid subscribers are not shown ads.
Ads are served by third-party advertising partners such as Google AdSense. With your consent, those partners may use cookies or similar technologies to measure and personalise ads, and may collect information such as your IP address, approximate location, device and browser type, and the pages you visit on this site. They do so under their own privacy policies.
We never place advertising on pages that display your resume, your profile or other personal information you have given us. Ads appear only on public pages such as the home page, pricing page and blog, and your resume, job descriptions and generated documents are never shared with advertisers or used to target ads.
We also use cookies and local storage that are strictly necessary to keep you signed in and remember your preferences. You can change your choices at any time using Cookie Preferences at the bottom of every page, opt out of personalised Google ads at Google Ads Settings, or block cookies in your browser.
7. Recruiter email tracking
If you use it, the job tracker can file employer emails under the right job and update its status. Emails reach us in only two ways: a recruiter replies to an application you sent with Direct Apply (which carries a reply address unique to that application, listed alongside your own address so you always receive the reply directly), or you forward emails to your personal IntelliResume tracking address, for example with a filter you set up in your email account. We never connect to or read your mailbox — we only see emails that are sent or forwarded to those addresses.
For each email we keep the sender, subject, date, text and the names of any attachments, and it is processed by AI (section 4) to work out which job it concerns and what it means, such as an interview invitation or a rejection. Attachments are passed on to you where needed but are not stored. Stored emails are deleted automatically after 180 days, or straight away when you delete them or your account. You can replace your tracking address at any time, after which mail to the old address is refused.
8. How we protect your information
All traffic to IntelliResume is encrypted in transit. Passwords are hashed and never stored or logged in plain text. Every request for your data is checked to confirm that it belongs to your account, sensitive actions are rate-limited, and access to production systems is restricted to authorised personnel. No system is perfectly secure, but we work to protect your information and will notify you and the relevant authorities of a data breach where the law requires it.
9. How long we keep information
- Account, resume and job information is kept while your account is open and deleted when you delete your account.
- Recruiter emails are deleted after 180 days at the latest.
- Invoices and payment records are kept for as long as tax and accounting law requires, even after your account is deleted.
- Security and technical logs are kept for a limited period and then deleted.
10. Your rights and choices
You can do the following yourself at any time from Settings in the app:
- View and correct your profile and resume information.
- Download a copy of your data with Export My Data.
- Permanently delete your account and its data with Delete Account.
Depending on where you live — including under the EU and UK GDPR and India's Digital Personal Data Protection Act, 2023 — you may also have the right to access, correct, erase or port your information, to object to or restrict certain processing, to withdraw consent, and to nominate someone to exercise your rights on your behalf. To exercise any of these rights, email us at sales@patrixel.com. We will respond within the time the law requires, and may need to confirm your identity first.
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to your local data protection authority.
11. International transfers
Our service providers may process information in countries other than your own. Where information is transferred outside the EU, UK or India, we rely on the safeguards the law provides, such as standard contractual clauses, and choose providers that protect information to a comparable standard.
12. Children
IntelliResume is not intended for anyone under 16, and we do not knowingly collect information from children. If you believe a child has given us personal information, contact us and we will delete it.
13. Changes to this policy
We may update this policy as the service changes. We will change the "Last updated" date above and, for significant changes, tell you by email or in the app before they take effect.
14. Contact and grievances
